AI integration

Put AI to work in your business, one process at a time.

Most businesses have tried ChatGPT. Few have AI doing real work. We find the job that costs you the most hours, connect AI to the tools you already use to do it, and show you the time saved before we touch the next one. When the right tool doesn't exist, we build it — we've done both for our own building firm.

Sound familiar?

If any of this is costing you hours and risk, you're in the right place.

  • “We pay for ChatGPT but nothing in the business has changed.”
  • Someone retypes invoices, receipts or timesheets into another system every week
  • Answers live in old emails and folders only one person can find
  • Quotes and reports take hours to put together from the same pieces
  • AI agencies quote £15,000+ before you know if it will work

Integrate first

Most of the value is in the tools you already pay for. AI can read every supplier invoice and post it to Xero or QuickBooks, sort the inbox and draft the replies, or answer “what did we quote them last year?” from your own files — and show where it found the answer.

We wire that into Microsoft 365, Google Workspace, your accounting package and your spreadsheets, so your team keeps working the way it does now. A person approves anything that goes out of the business: the AI does the typing, your team makes the call.

Build when nothing fits

Off-the-shelf automation stops where a business gets specific. A trade with its own paperwork, a process that spans three systems that don't talk, a customer portal that doesn't exist yet. That is where most AI agencies say no or send you somewhere expensive.

We are a software house first. When no tool fits, we build the missing piece — a portal, an app, an internal system — with AI inside, and you own all of the code.

Proven in our own business first

VALEGRID started on a building site. Our subcontracting firm, The Builders (Cotswolds), runs on Valegrid Flow: its AI estimator prices tenders from the spec and drawings using the firm's own rates, an assistant answers from the company's own records and cites its sources, and one timesheet approval produces payroll, the valuation and the invoice. Weekly admin went from about a day to around ten minutes.

AccountantUK, our Making Tax Digital product, reads receipts and keeps the books for sole traders. We bring the same standard to client work: UK-hosted, UK GDPR, and your data is never used to train anyone's model.

What we do

How we solve it.

Document automation

Invoices, receipts, delivery notes and drawings read, checked and filed, with exceptions sent to a person.

An assistant on your own records

Answers from your documents, jobs and emails, with the source shown so your team can check it.

Email and enquiry handling

Messages sorted, replies drafted and logged against the right customer or job.

Quotes and reports

First drafts built from your price lists, past jobs and site notes, for someone to check and send.

Connecting your systems

Xero, QuickBooks, Microsoft 365, Google Workspace and your own databases passing data without re-keying.

Custom software with AI inside

Portals, apps and internal tools when nothing on the market does the job.

Fixed prices, agreed before we start.

Questions

Frequently asked.

How much does AI integration cost?

The AI Workflow Audit is £1,500 fixed (£3,000 over 25 staff) and is credited in full against a pilot. A one-workflow pilot starts at £4,500, and support from £350 a month. Custom software is quoted per job.

Do we need new software?

Usually not. Most of the work connects AI to what you already use. We only build something new when no existing tool fits.

Which AI do you use?

Whichever fits the job and your data rules — models from Anthropic, OpenAI or Microsoft among them. You aren't locked into one provider.

Is our data safe?

Data is hosted in the UK where possible, handled under UK GDPR, and never used to train a model. You own the code and the workflows we build.

What if the AI gets something wrong?

Anything that leaves the business is approved by a person first, and every answer shows where it came from, so mistakes are caught before they matter.

How long until we see a result?

The audit takes a week. A pilot is live in 4–6 weeks, and we measure the time saved against where you started.
